School management software in India: what to look for.
Good school management software for India handles any Indian state or board, the RTE quota, UPI and bank-challan fee collection, regional languages and the DPDP Act 2023, on one connected record. Use this guide to check any product, including ours.
What Indian schools need
- Board support. Marks, grading, report cards and board-exam workflows that match your board and state. See software for any board and state.
- Fees the way Indian schools collect them. Fee structures by class, several concessions per student, partial and advance payments, cheque clearance tracking, bank challans, UPI, cards and net banking, and refunds you can trace.
- RTE support. Tracking of Right to Education quota students and reimbursement.
- Local languages. Parent and staff apps in Indian languages, and student and parent names captured in a regional script as well as English.
- Data protection. Consent capture, data export, erasure and breach-notification workflows that support the Digital Personal Data Protection (DPDP) Act 2023.
- Transport safety. Routes, boarding records that work without signal, and live bus tracking that runs only during a trip.
- Parent communication. App notices, WhatsApp and SMS without per-message charges.
- Multi-branch groups. Branch-level access and cross-branch reporting for trusts with several campuses.
A worked example: a route change in October
Fee handling is where Indian schools lose the most time, so test it. This example is illustrative and uses the same figures as our fees and billing page.
A student's transport fee is Rs 2,400 a month. In October the family moves and the route changes to one that costs Rs 3,000 a month, with seven months of the year left.
| Step | Amount | Why |
|---|---|---|
| Credit for the old route | Rs 16,800 | Rs 2,400 for each of the seven remaining months, no longer owed |
| Charge for the new route | Rs 21,000 | Rs 3,000 for each of the seven remaining months |
| Net still to pay | Rs 4,200 | The difference, billed from the real effective date |
A good system does this in one step, from the real effective date, without double-counting a concession already given. Ask every vendor to show a change like this on your own fee structure.
How EduCampusOS covers each
- Academics are configuration-driven, so EduCampusOS works with any state or board and any curriculum.
- Fees support several concessions per student, proration by your policy, wallet, cheque tracking, bank challans, RTE reimbursement and online payments through Cashfree Payments to the school's own bank account. See fees and billing and online payments.
- The mobile app is in 11 Indian languages: English, Kannada, Hindi, Tamil, Telugu, Malayalam, Marathi, Bengali, Gujarati, Punjabi and Odia. See mobile apps.
- Consent, export, correction and erasure of a child's data can be requested from the parent app, in line with the DPDP Act 2023. See security and trust.
- Live bus tracking shares a driver's position only while a trip is running. See transport and tracking.
- Notifications over app, SMS, WhatsApp and email are included in every plan.
- Groups can run several branches with branch-level access and cross-branch reporting on the Enterprise plan.
Common mistakes when buying
- Judging a product on a generic demo instead of the school's own fee structure and timetable.
- Counting only the licence price and missing per-student, per-module or per-message charges that appear later.
- Assuming the app is available in the language parents actually use.
- Not asking how data leaves the system if the school ever changes vendor.
- Treating data protection as the vendor's problem alone. Under the DPDP Act the school is the Data Fiduciary for its students' data, so ask how the vendor helps you meet that duty.
Going live
On the standard cloud, most schools are live within days, not months. Larger, multi-branch schools or those asking for dedicated infrastructure take longer, and we give a specific timeline once we understand the school. Existing data from Excel sheets, another ERP's export or paper registers can be brought in through bulk import. See the FAQ.
Cost
Pricing varies by vendor: per student, per module, per message, or by school size. EduCampusOS is priced by school size and service tier, with every module and all notifications included, no setup fees and no per-module unlock fees. Ask for a quote on the pricing page or talk to us.
Frequently asked questions
What should an Indian school look for in school management software?
Support for its own state and board, fee collection in Indian formats including UPI, challans and concessions, RTE tracking, regional-language apps, DPDP Act 2023 workflows, transport safety, and pricing that stays predictable as admissions grow.
Which school ERP suits schools of any state or board in India?
The right fit depends on the school, but a school that wants admissions, fees, exams, transport, HR and parent apps on one record, that works with any state or board, with Kannada and ten other Indian languages in the app, and pricing by school size instead of per student, should evaluate EduCampusOS.
Does EduCampusOS support the DPDP Act 2023?
Yes. Consent capture, data export, right-to-erasure and breach-notification workflows are part of the platform, and parents can see consent and request correction or erasure from the app. See the security page for detail.
Can parents pay school fees online with EduCampusOS?
Yes, where the school switches it on. Parents pay by UPI, card, net banking or wallet in the app, the web portal or a payment link. Cashfree Payments processes the payment and settles it to the school's own bank account. EduCampusOS does not hold fee money.
Does EduCampusOS have a mobile app?
Yes. The Android app is on Google Play and the iPhone app is coming soon. There are apps for parents, students, teachers, every member of staff and bus drivers.
