What is a school ERP?
A school ERP (enterprise resource planning) system is software that runs a school's core operations on one shared database: admissions, student records, fees, attendance, timetable, exams, staff and payroll, transport and communication. It is also called a school management system or school management software.
What a school ERP includes
The exact list varies by product, but a complete school ERP usually covers:
- Admissions: enquiry to enrolled student, including walk-ins and website forms.
- Student information: profiles, guardians, documents, history.
- Academics: timetable, syllabus tracking, marks, report cards.
- Attendance: daily or period-wise, for students and staff.
- Finance and fees: fee structures, concessions, receipts, online payments, refunds.
- Examinations: question banks, hall tickets, results, analytics.
- HR and payroll: staff records, leave, payslips.
- Campus operations: transport, hostel, library, inventory, front office.
- Communication: notices and messages to parents, students and staff over app, SMS, WhatsApp and email.
One admission, followed through the system
The easiest way to see what "one shared record" means is to follow a single child. This walk-through is illustrative of how a connected school ERP behaves.
- A parent fills in the enquiry form on the school's website. The enquiry lands in the admissions pipeline, alongside walk-in enquiries.
- The school moves the enquiry to an application and then to an enrolled student. The record now exists once.
- The fee structure for the child's class is assigned, and any concession is applied to the right fee categories.
- The family chooses a bus route. The transport fee is tagged to the same record, so it appears on the same invoice.
- The parent pays by UPI from the app. The invoice marks itself paid and the receipt is ready.
- Attendance is taken each day against the same record, and marks are entered at exam time.
- The report card is generated from those marks, and the parent sees it in the app.
In a setup with separate tools, each of those steps happens in a different place, and a person re-enters or reconciles the child between them.
School ERP vs SIS vs LMS
These terms are often mixed up.
- A student information system (SIS) stores student records and basic administration.
- A learning management system (LMS) delivers lessons, assignments and learning content.
- A school ERP covers the whole school: the SIS functions plus finance, HR, transport, exams, communication and more, on one data layer.
Many schools end up with a thin SIS, a separate LMS, a separate messaging tool and separate fee, transport and exam modules. A school ERP replaces those seams with one system. Read the full comparison.
Signs a school has outgrown spreadsheets
- The same child's details are typed into more than one file.
- Nobody can say quickly which students with overdue fees also use the bus.
- Fee corrections, such as a mid-year concession or route change, take hours and still get disputed.
- Parents call the office for information that could be in an app.
- One person holds the knowledge of how the files fit together.
- Preparing for an inspection or an audit means days of gathering paper.
Cloud or on-premise
Cloud-hosted school ERPs run on the vendor's servers and need only a browser, with no server or IT team at the school. On-premise systems run on hardware the school maintains. Some large trusts and boards with data-residency rules prefer dedicated infrastructure, which a cloud vendor may offer on request.
What to look for
Look for a single data layer, modules you can switch on as needed, role-based access, a clear audit trail, data export on exit, support for your board and languages, and pricing you can predict. Our buyer's checklist goes through twelve questions to ask any vendor.

Frequently asked questions
What is a school ERP?
A school ERP is software that runs a school's core operations, such as admissions, student records, fees, attendance, timetable, exams, staff and payroll, transport and communication, on one shared database instead of separate tools.
Is a school ERP the same as a school management system?
In everyday use, yes. School ERP, school management system and school management software all describe software that manages the administration and operations of a school. ERP usually implies the broader, fully integrated version.
What is the difference between a school ERP and an LMS?
An LMS delivers learning content and assignments. A school ERP runs the school's administration and operations: admissions, fees, attendance, exams, HR, transport and more. Some ERPs include learning features, and EduCampusOS includes a student portal, library and an AI study assistant.
Does a small school need a school ERP?
A small school benefits when the same child's details are being kept in several places. With EduCampusOS every plan includes every module and a school switches on only what it uses, so a small school without a bus fleet simply does not see Transport screens.
How is EduCampusOS priced?
By school size (Small, Medium, Large, Enterprise) and service tier (Basic, Advance, Premium), not per student, per feature or per message. Every plan includes every module and all notifications. Ask for a quote on the pricing page.
